What it is

onEdu is comprehensive solution for management of educational institutes. It is a complete framework of over 30 different plug & play modules that string together feature sets required for managing all facets of management of Universities, Colleges and Schools. The entire life cycle of a student, beginning from pre-admissions marketing to becoming an alumni and all the administrative functions in-between can be handled by onEdu. When used effectively, onEdu becomes the Central Nervous System of your institution, efficiently managing information and its dissemination between various stakeholders. At the same time it also ensures privacy and security of data.

onEdu is more than a standard ERP and a CRM solution for the education sector. The value of an automated solution such as onEdu is not in terms of its ability to store information and provide on demand reports. It is in its ability to track the trends in behavior and performance of individual student or faculty and pro-actively alert the management on any deviation in the trend. Corrective measures can be taken up based on these alerts, before an undesired trend results in an unforeseen event. After all, when you are managing an institute with thousands of students, it would help to have a system that lets you, the management, focus on the few critical areas that need attention.

Starting Point

It all started as a simple idea in year 2006 to create an online platform for parents and teachers to interact frequently. Then came the basic student records of attendance, test results, continuous assessment, fees management, SMS alerts, faculty portals, parent portals, placements office, alumni management, library and a host of other modules that would be useful in an educational setting. To this day, onEdu continues to evolve and become more and more useful and valuable to educational institutions. Today it serves the information needs of over 100,000 students, parents and staff at many schools and colleges. 
 

Philosophy & Concept


The inherent value of a software is realized only when it is put to use, not when it is bought or implemented. We understand this. And that is the reason for us to choose Software as a Service as a delivery model - ensuring that customers use onEdu and realize its value before payment happens.

 

Most of our customers in education domain are not ready or equipped to house internal IT departments. Their core competence is not development and maintenance of IT systems. Their competence is imparting knowledge to the students, and managing the resources such as faculty and other infrastructure required to do so. At Winnou, we have taken it upon oursevles to maintain the software for our customers, by delivering software as a service. The benefits of this model are multi-fold

Overview

onEdu is a framework of loosely coupled modules that address needs of specific areas of managing an educational institute.  Each of these modules can be turned on or off based on your needs. While the list of modules is exhaustive, there are four aspects to the features list that makes us unique.
  • the depth of features. Attendance management is not just about students, subjects and faculty.ur module can handle various nuances that can exist, right from electives, lab batches to bio-metric and RFID integrated automated attendance management for a University.
  • plug & play features. You have the option to choose the features to implement. It is not all or nothing. If you just want a solid Evaluation module for your exams management, you get just that. We will work on the dependencies and ensure you have all the right sub-systems necessary. 
  • flexibility offered for process adoption.  Best practices from across the list of customers that we have worked with and from the industry have been incorporated into onEdu. For example, there are 5 variations in the attendance processes that are handled by onEdu. Similar is the case with other modules. More than likely, we have the solution that works for you, but in case we do not, we build it – just for you. 
  • focus on making it work for you. Each customer is unique and have over a period of time developed in-house best practices that are their core competencies. CBIT (Chaitanya Bharathi Institute of Technology)

  • Chaitanya Bharathi Institute of Technology is a top ranked private college in India, offering professional programs both at Bachelors and Masters level. The college was founded in 1979 and has more than 4500 students enrolled in its B.Tech, M.Tech, MCA and MBA programs. With an intake of more than 1000 students per year, this is also one of the largest private professional colleges in the state of Andhra Pradesh.
     
    The college has been accredited by NBA(AICTE) and is the first one in the state to be ISO 9001-2000 certified. CBIT was affiliated to Osmania University till 2013, when it was granted an autonomous college status by UGC. 
    Introduction
  • With a student base of more than 4500, the college administrative staff was finding it difficult to keep track of individual student attendance and academic records. Submission of mandatory reports to Osmania University also involved much effort on part of each department to collect, collate and summarize the information into the formats as specified by the University.

    The college management also wanted to proactively alert parents of students that had less than the mandatory attendance percentage as specified by the University, so as to prevent detention of students due to lack of attendance. To achieve this purpose, an IT system was envisioned that could keep track of individual student attendance records and send out various alerts of increasing urgency (SMS/email/physical letters) to college management as well as to identified students and parents.
    Problem Statement
  • First implemented in 2007, the instance was upgraded in late 2013 to the latest multi-tenant version. Features being used by CBIT include:

    Staff including non-teaching and teaching personnel, students and parents are provided their respective logins to access their role specific feature set in onEdu.

  • Each faculty is provided with a “cheque book”. Each leaf in the cheque book is used to record the absentee student roll numbers for a particular class, and the leaf is deposited into a drop box that is conveniently located in the department. Contents of the dropbox are collected at the end of the day and entered into onEdu.

    Data entered is validated against the preset timetable with in the system, and onEdu sends out SMS alerts the very next day to individual faculty members that have not deposited their class attendance records into the dropbox. The same information is also sent to Heads of Departments as well as Principal of the college for escalation.
    Process
  • A variety of attendance reports are generated by the administration. The admin staff can also send SMS alerts to parents and selected students that match a filter criteria. Letters to the select parents are printed directly by onEdu and sent by courier/registered post. Details of the letters and SMS sent to parents are logged into onEdu for audit and verification purposes. In addition, parents and students can login to onEdu (which is hosted on a cloud server) with the userid/password provided to them and verify the information available in the system at any point of time.
    Reports
  • The new process and monitoring mechanism has resulted in a drop in the number of students detained due to lack of attendance. More importantly, the college now has documentary evidence of having alerted the student and the parent of the impending detention which reduces the “surprise” element for the parents at the end of the semester.
     
    While student attendance is one of the major processes managed by onEdu at CBIT, other areas include managing of admission records, uploading exam results (sessionals, regular and supplementary exams), issuing of student certificates and end of semester student feedback collection and analysis.

SSIM (Siva Sivani Institute of Management)

  • Siva Sivani Institute of Management was established in 1992. It is today one of the largest B-schools in South India, with an intake of over 300 students per year.
     
    Apart from its flagship PGDM Triple Specialization, SSIM runs five other programs: PGDM Marketing and PGDM BIFAAS (Banking, Insurance and Finance) and three programs in the second shift PGDM Triple Speciliazation, PGDM BIFAAS and PGDM Global Business. 
     
    SSIM has consistently been ranked among the top B-Schools of the country. 
    Introduction
  • Each academic year consists of three trimesters. Students are expected to take about 6 to 8 courses in a trimester. As part of its continuous improvement process, SSIM had an independent body administer feedback sessions from students. Typically, each course has at least two feedback sessions, one mid-way and the second at the end of the trimester. Feedback sheet consists of about 20 questions, with most of them to be answered as a rating. The questions are administered on pre-printed forms, one for each student for each feedback. In any particular trimester, around 5000 individual student feedback forms (or roughly 100,000 data points) are completed. These forms are fed into spreadsheets for further analysis and reports for management as well as individual faculty are then prepared. Given the manual effort involved and the laborious process, many a times the faculty did not receive the feedback in a timely manner. Moreover, with a move to include this as a parameter in annual appraisal process for the faculty, the importance of this process further increased manifold.
    Problem Statement
  • Feedback process has now been automated. They are administered by activating the feedback forms for students at any given time period. Once students complete the forms and the data obtained is regarded as representative, the administration department publishes the results to the faculty and management.

    Faculty can login to onEdu and review the feedback given by students as soon as the it is published, usually on the same day.
    onEdu
  • The questionnaire is already pre-configured and is automatically made available to every student. Students are limited to providing feedback only to the faculty and courses that they are registered to. Once feedback is scheduled by the system administrator, requests for feedback are sent to every student both by onEdu alerts as well as by emails. 
     
    Students login to onEdu and provide feedback from anywhere using an internet connected device. Individual student feedback is "anoymised"and summary reports are presented. Feedback is analysed in real time and reports are made available to both faculty and management to review. Feedback dashboard provides a quick overview of the feedback ratings and highlights problem areas for management focus. 
    Process
  • Reports are available for both program management at a summary level as well as indivdual faculty for the courses they are assigned to. Graphical dashboards with green, yellow and red areas draw attention to the good, average and areas of improvement. A sample report is presented below.
